Billing & invoices

Billing for Sonomos paid plans (Professional and Teams) is managed through my.sonomos.ai. Payments are processed by Stripe; Sonomos never stores card numbers on its own infrastructure.

Where billing lives

All billing actions happen in the dashboard:

my.sonomos.ai → Settings → Billing

From there you can:

  • Add, update, or remove payment methods
  • View and download invoices
  • Change your plan (upgrade, downgrade, or switch billing frequency)
  • Manage Teams seat counts
  • Cancel your subscription
  • Update the billing email and address

Free trial

Both Professional and Teams include a 30-day free trial with full feature access.

  • Credit card is not required to start the trial. You can explore Professional or Teams without any payment information on file.
  • The trial begins the moment you opt in from the dashboard.
  • You’ll receive a reminder email before the trial ends so you can decide whether to convert.
  • If you don’t convert, your account drops back to the free Individual tier and your data is preserved.

To start a trial: my.sonomos.ai → Plans → Start trial.

Payment methods

Sonomos accepts:

  • Major credit and debit cards (Visa, Mastercard, American Express, Discover) via Stripe.
  • Apple Pay / Google Pay for individual subscriptions.
  • Invoice billing (NET 30) for Teams plans of 25+ seats — contact info@sonomos.ai to set up.
  • Annual purchase orders for Teams plans — same contact path.

To add or change a payment method: my.sonomos.ai → Settings → Billing → Payment methods → Add / Edit.

Annual Professional is roughly a 50% discount versus monthly. Annual Teams pricing is available; contact info@sonomos.ai for a quote.

Invoices and receipts

Every charge generates an invoice (PDF) and a receipt (email). To access them:

  1. Go to my.sonomos.ai → Settings → Billing → Invoice history.
  2. Click Download next to any invoice for the PDF.
  3. To change the email address that receives receipts, go to Settings → Billing → Billing email.

Invoices include your company name, billing address, and (for Teams) the per-tier seat breakdown so finance teams can match charges to seat counts.

If you need a specific invoice format (e.g., a tax ID required by your jurisdiction, custom PO references), email info@sonomos.ai — we can usually accommodate.

Switching plans

Upgrade Individual → Professional

Instant. Take effect on confirmation; you’re charged a prorated amount immediately and billed the full price on your next renewal date.

Upgrade Professional → Teams

Instant. The remainder of your current Professional period is credited toward your Teams subscription. Existing settings and detection history transfer.

Downgrade Professional → Individual

Effective at the end of the current billing period. You retain access to Professional features until then. No refund for the unused portion.

Downgrade Teams → Professional or Individual

Effective at the end of the current billing period. Team members lose Teams-only features (admin policies, aggregate analytics) at the same time. Per-member settings persist.

Monthly ↔ Annual

You can switch the billing frequency at any time. Annual rolls over to monthly at the end of the annual period if you don’t renew; monthly can switch to annual immediately with a prorated credit.

Teams: managing seats

Teams pricing is graduated; the more seats you add, the lower the per-seat cost. See the full Teams pricing page.

To change seat counts:

  1. Go to my.sonomos.ai → Settings → Billing → Seats.
  2. Adjust the seat count.
  3. The billing change takes effect on the next renewal; mid-cycle adds are prorated.

For seat counts above 100, billing is custom — contact info@sonomos.ai for a quote.

Cancellation

To cancel a paid subscription:

  1. Go to my.sonomos.ai → Settings → Billing → Cancel subscription.
  2. Optionally tell us why — feedback at cancellation directly informs the roadmap.
  3. Confirm. You’ll retain access to paid features until the end of your current billing period.

After the period ends, your account moves to the free Individual tier. Settings, detection history (where applicable), and account information remain.

Refunds

Sonomos’s standard refund policy:

  • Within 14 days of an initial paid subscription — full refund on request, no questions.
  • Annual subscriptions, more than 14 days in — prorated refund for the unused portion at our discretion. Email info@sonomos.ai with your case.
  • Monthly subscriptions, mid-cycle — generally not refunded; you keep access through the end of the period.
  • Service outage refunds — for prolonged service-level issues, contact us. We’ll work it out.
  • Teams plan cancellation — handled like monthly / annual above; large or unusual cases are best handled by email.

To request a refund: email info@sonomos.ai with the invoice number and a brief reason. We aim to respond within one business day.

Failed payments

If a charge fails (expired card, insufficient funds), Stripe will retry over the following days. You’ll receive an email at the billing address.

  • Update your card at my.sonomos.ai → Settings → Billing → Payment methods.
  • Grace period — paid features remain active for 7 days after the first failed charge to give you time to resolve.
  • After 7 days — the account moves to the free Individual tier. Detection history and settings are preserved; you can reactivate any time by adding a valid payment method.

Tax handling

  • US sales tax — applied where required by jurisdiction; visible on the invoice.
  • VAT / GST — applied to applicable jurisdictions for individual and Teams subscriptions. If you have a valid VAT number, add it to Settings → Billing → Tax info so subsequent invoices reflect the reverse-charge treatment.
  • Withholding tax — for Teams plans paid via wire / PO, contact info@sonomos.ai so we can configure the right invoice handling.

Billing FAQ

Can I change the billing email without changing the account email?

Yes. Settings → Billing → Billing email sets where invoices and receipts go, independent of the account / sign-in email.

Can multiple people receive invoices?

Yes. Settings → Billing → Billing email accepts comma-separated addresses. Add your AP team’s distribution list if helpful.

Do you offer educational, nonprofit, or open-source discounts?

For nonprofits and accredited educational institutions, yes — contact info@sonomos.ai with proof of status. For open-source maintainers, Canary is already MIT-licensed and free.

Can I pay in a currency other than USD?

USD only at this time. Some bank-side conversion may apply; contact your card provider for specifics.

What happens to my data if I stop paying?

Nothing destructive. The account drops to the free Individual tier; all device-side detection settings and history are preserved. Teams-tier features (admin policies, aggregate analytics) are paused but not deleted, so they reactivate if you re-subscribe.
